We are delighted that you have registered to attend CC:The Exchange 2009. With only a week to go before the event starts I would like to provide you with some pre conference information to make your time at the conference as rewarding and stress free as possible.
On arrival at The Winchester Hotel please report to The Winchester Hotel Reception Desk to enable you to check into your hotel room. The hotel reception is available 24 hours a day.
You will then be directed to CC:The Exchange Registration and Information Desk, where you will pick up your conference pass and delegate bag. Conference registration opens at 10.00am on Sunday 12 July.
Your main point of contact to register, or if you have any enquiries, is CC:The Exchange Registration and Information Desk. It will be located in the reception area of The Winchester Hotel and at the entrance to Ordnance Survey's Business Centre on Monday 13 and Tuesday 14 July.

The reception and bar area of the Winchester Hotel will act as CC:The Exchange delegate lounge and is open 24 hours a day. Drinks are available 24 hours a day from the bar and can be charged to you room providing you have made payment arrangements at time of checking into the hotel e.g. provided credit card details.
An internet café has been set up at the Winchester Hotel, in the Chaucer Suite. You are able to log onto the internet free of charge and to keep up to date with your emails etc. It will open at 10.00 on Sunday 12 July and will be open 24 hours a day, closing on Thursday 16 July at 10.00. The room is on the ground floor of the hotel, it will be signed posted and can be accessed using your room key card. Tea and coffee will be available so please do help yourself to the refreshments.
Internet access is available free of change in your hotel rooms. To access the internet connect your laptop to the internet cable and log in as normal. The systems will indicate that you are being charged, but this charge will be taken off your bill and charged to the conference. Free WIFI access is also available in all the public areas of the hotel, which we encourage you to use.
Free WIFI access is available through out Ordnance Survey’s Business Centre. A small internet café has also be set up at the back of the Business Centre for your convenience, this will be available from Monday 13 - Wednesday 15 July.

We will be providing transport to and from The Winchester Hotel and the conference venues. On Sunday and Monday evenings we will be operating a 'walking bus' to Winchester City Museum and Winchester Cathedral, it is an easy 15 minute walk. For anyone who is unable to walk we are operating a mini bus to and from these venues, please inform staff on CC:The Exchange Registration and Information Desk on arrival if you require this service. Bus times will be clearly displayed in reception and can be found in this guide, on the pages setting out each day’s programme. BUSES WILL NOT WAIT IF YOU ARE LATE.
There is a car park at the rear of The Winchester Hotel, which is free of charge to all residents; there are 40 spaces available and they are allocated on a first come first served basis. The car park at the front of the hotel is a public pay and display car park. If you need to take a car to Ordnance Survey car parking spaces have been reserved in the visitors car park at the front of the building. We have arranged 2 walking tours of the beautiful and historic city of Winchester on Sunday afternoon, at 13.00 and 15.00. Please inform staff on CC:The Exchange Registration and Information Desk if you would like to join one of the tours. They will sign you up and walk you to the Tourist Information Office, where the tour begins.

CC: The Exchange 2009 photograph will be taken on Monday 13 July at 11.00. After the opening plenary session delegates need to make their way to Ordnance Survey’s main reception are where you will be directed by the photographer. Copies of the photograph will be posted to all delegates after the conference together with the conference proceedings.
All refreshments and meals are included with your conference pass. They will be served in a variety of places; the timing and the locations of all meals and refreshments are detailed in the conference agenda, which can be found on this website under Conference Programme.
The Winchester Hotel bar is open 24 hours a day, for your convenience and enjoyment - snacks are also available.
The Winchester Hotel has a luxury ‘Revive Health Club’. Facilities on offer include a purpose built fitness suite equipped with the latest Technogym equipment, a heated swimming pool, steam room, sauna and spa pool. Opening times are 06.30-22.00 Monday – Friday and 08.00 – 08.00 Saturday and Sunday.

Outgoing mail can be handed to staff at The Winchester Hotel Reception desk or to a member of the Cambridge Conference Team. Incoming mail can be collected from The Winchester Hotel Reception.
A quiet room in Ordnance Survey's Business centre has been dedicated as a Prayer Room. Please make staff on the CC:The Exchange Registration and Information Desk aware if you would like to use it and they will arrange access for you. There is also a dedicated Prayer Room at The Winchester Hotel, please speak to staff on the hotel reception desk and they will arrange access for you.
The Winchester Hotel run an in house laundry service for your convenience, it Is available 24 hours a day.
Please be aware that in the United Kingdom, smoking is not allowed in any enclosed public places, including pubs, bars and restaurants. Please do not smoke in hotel rooms, as you will set the smoke alarms off and will be subject to at £75.00 charge for restoration of the room. Please take note of all no-smoking signs during your stay.
Rooms must be vacated by 11.00 on the day of your departure. On departure, please remember to hand your room key into The Winchester Hotel Reception. You will be able to store your luggage at the hotel; the concierge service will arrange this for you.
