What does the ticket price include?

The ticket price includes single room accommodation from 2-5 July 2017 and breakfast, lunch and dinner each day. A full social programme is available at no additional cost including receptions and a gala dinner.  Please note travel to and from Oxford is not included.

On Thursday 6 July you are invited to visit our head quarters in Southampton to see the facilities. Lunch and travel from Oxford is provided.

How do I book a place for myself?

You will need to register. Please click on the Book button, then Add to Basket for the type of ticket you want. Next, you will need to click on the Register button to create an account. Enter your own details in the Account settings. Then you can use a credit card to make payment, or choose Bank transfer as a payment option.

What type of credit card do you accept?

We accept Visa and Mastercard Debit and Credit Cards. We do not accept American Express or JCB cards.

How do I book for more than one person to attend the conference?

Each delegate needs to have their own account details as this will hold any information about special requirements. Please set each delegate up as an individual account holder and register them individually.

I haven’t got a credit card, how do I book a place?

You can book a delegate place using bank transfer. Simply book a delegate place and select bank transfer as the payment option. You will receive an email with our bank details. Your place will be held for you for 48 hours. Please ensure you make your payment within 48 hours. If you have difficulty with this, please email emma.stevens@os.uk.

Can you send me an invoice?

If you make a payment in full by credit or debit card at the time of your booking, an invoice will automatically be emailed to you once the payment has been authorised.

If you decide to pay for the conference in two installments, you will receive an invoice by email each time you make a payment, again, once the payment has been authorised.

If you do not have a credit card and decide to pay via bank transfer, the payment will be processed by our Credit Card team once we see the payment in our account. Once the payment is processed then an invoice will be emailed to you.

What happens if I haven’t received a confirmation email?

You will receive a confirmation email containing a receipt when your payment has been processed. If this has not arrived after 48 hours, please email emma.stevens@os.uk.

Do you have assisted or reduced price places for this conference?

We have a limited number of supported places available. Please contact emma.stevens@os.uk for more information.

What is the social programme and is that included in my booking?

The social programme includes:

  • Welcome reception at the Oxford Natural History Museum on Sunday 2 July
  • A visit to the Bodleian Library
  • The Hotine Lecture on Tuesday 4 July
  • Gala dinner on Wednesday 6 July

For all delegates booking to attend the conference, the Social Programme is included within the conference fee. If would like to include your partner in the evening activities, you can register for an additional person to attend the social programme.

Can I bring my partner to attend the social programme with me?

Yes, you can. Please add a social programme ticket to your account. Please note that accommodation is not included in the social programme price, and delegates requiring double or twin rooms should book separate accommodation direct with Keble College.

I am arriving on Saturday, can I book an additional night of accommodation?

You can book an extra night direct with Keble College. Please add a note to say that you are attending the conference to enable the college to assign the same room for the duration of your stay.

I am bringing a guest, can they stay in the same accommodation?

The accommodation is single-person only, and we do not have additional rooms available for guests. If you would like a double room or additional accommodation for your guest, you may be able to book directly with Keble College, who have a limited number of additional rooms. Please advise us once you have booked, so we can locate you in adjacent bedrooms. Alternatively, the Oxford City website has useful information and contacts you may find helpful.

What if I’ve forgotten the password for my account?

Simply click on the forgotten password link and the system will email you to enable you to reset your password.

When does the Early Booking rate end?

The Early Booking rate ends on 1 June 2017. After this, the price will increase to the standard rate.

I have special dietary requirements. How do I tell you about that?

Please use the special requirements box in your account information to tell us.

I can’t manage stairs. How do I tell you?

I haven’t been invited to the conference, can I still attend?

The conference is aimed at senior level/heads of national mapping and cadastre organisations. If you haven’t been invited and would like to attend, please email emma.stevens@os.uk and explain why you think it would be relevant to you. We will respond to your email within 48 hours.

What is the cancellation policy?

After 17 April, no refunds will be given.

I am no longer able to attend, but I’d like to send a colleague. How do I do this?

Please email emma.stevens@os.uk. A £20 re-booking fee will be charged.

What’s included in the conference registration fee?

  • Single, en-suite bedroom accommodation for four nights (Sunday 2 July – Thursday 6 July 2017)
  • All meals (including breakfast) from Sunday afternoon until Thursday lunchtime
  • Full attendance at social programme events
  • Full access to the conference and exhibition
  • Conference bag

When is the last date I can book?

We will accept bookings until midnight on Tuesday 20 June 2017. After this, the delegate registration links and booking information will be removed.

What is the dress code?

The dress code for the conference is business attire or national dress. The social events are smart casual and the Gala Dinner is formal – Dinner suit, Tux, Black tie or National dress.
